Privacy, Terms and Conditions
How Feelings to Facts collects survey responses, what it does with them, and the terms that apply to organizations and respondents.

The short version. We collect survey answers, not identities. No one at your organization sees an individual response. Results are only ever published as group averages, and a group must have at least five responses before it appears in a report.
Privacy policy
Feelings to Facts operates a survey and reporting service for youth sports organizations. Organizations use it to measure how aligned their leaders, coaches, parents, and athletes are on value, safety, facilities, training, communication, community, and satisfaction. This policy explains what happens to the information collected through that service.
It applies to everyone who answers a survey, every administrator who runs one, and every visitor to this site.
What we collect
From survey respondents
- Answers to the survey questions, on the 1 to 7 agreement scale.
- Optional written comments left at the end of a survey.
- Segment information you select: role, sport, age or division group, and years involved.
- Technical information needed to keep the survey working: browser type, and a one-time token that prevents the same link from being submitted twice.
We do not ask respondents for their name, address, phone number, date of birth, or the name of their child. If you type identifying information into a comment box, we may remove it before the comment reaches a report.
From organization administrators
- Name, work email address, and role at the organization.
- Organization details entered during setup: program type, sports, age or division groups, location, season dates, and participant counts.
- Sign-in records, including the time of each sign-in and the code used.
Confidentiality of responses
Individual responses are never shown to an organization, a coach, a board member, or any other administrator. Reporting is always aggregate.
- Minimum group size. A role, sport, or age group must have at least five responses in a phase before its results appear in any report. Below that threshold the segment is suppressed.
- No response-level export. Administrators cannot download, view, or reconstruct a single person's answers through the platform.
- Comments. Written comments are reviewed and may be summarized or quoted in a report only when the quote cannot reasonably identify the person who wrote it.
- Invitations. Sending an invitation does not link the recipient to a submitted response.
Minors
Athlete surveys are answered by young people, many of them under 13. Organizations are responsible for obtaining any parental permission their programs, schools, or governing bodies require before inviting athletes to respond.
We collect no directly identifying information from athletes and use their answers for one purpose only: producing the group report for the organization they belong to. Athlete responses are never used for advertising, profiling, or any commercial purpose, and are never sold.
A parent or guardian may ask us to remove their child's responses. Because responses are not linked to a named person, removal is handled by identifying the specific submission with the parent's help, or by suppressing the smallest segment that contains it.
Your choices
- Answering a survey is voluntary. You may skip questions or stop at any point, and nothing is submitted until you finish.
- You may ask what categories of information we hold and request correction or deletion.
- Organizations may export their own aggregate results and may close a season at any time.
Requests are handled within 30 days. Because responses are not tied to identities, some requests require the organization's help to locate the right records.
Terms and conditions
Using the service
Feelings to Facts provides survey tools and reporting to youth sports organizations. Access is granted to named administrators through a one-time code sent to a work email address. Administrators are responsible for keeping their email account secure and for removing colleagues who no longer need access.
Organization responsibilities
- Distribute survey links only to people in the roles being surveyed.
- Do not pressure, incentivize, or retaliate against anyone based on how they answer.
- Do not attempt to identify individual respondents from a report.
- Obtain any permissions required before surveying minors.
Attempting to deanonymize responses is grounds for immediate termination of access.
Accuracy of results
Reports describe what respondents said. They are a measure of perception and alignment, not an audit, an investigation, or a safety certification. Feelings to Facts does not verify the accuracy of any answer and does not warrant that a report reflects the true condition of a program. Organizations remain solely responsible for their own operations, safety practices, and compliance obligations.
Safety concerns
This platform is not a reporting channel for abuse, injury, or immediate danger. If a survey response or comment describes a child at risk, contact local authorities. Nothing here replaces mandatory reporting obligations.
Fees and nonprofit status
Feelings to Facts is operated as a nonprofit and is funded by donations and grants. Where fees apply to an organization, they are stated in writing before a season begins. Donations are not refundable except where required by law.
Intellectual property
The question set, dimension framework, scoring method, and report formats belong to Feelings to Facts. An organization's own results belong to that organization, and it may use and publish them freely.
Limitation of liability
The service is provided as is. To the fullest extent permitted by law, Feelings to Facts is not liable for indirect, incidental, or consequential damages arising from use of the service or reliance on a report. Total liability is limited to the amount the organization paid in the twelve months before the claim.
Changes to these terms
We may update this page. Material changes are announced to administrators by email at least 14 days before they take effect. Continuing to use the service after that date means accepting the change.
Governing law
These terms are governed by the laws of the state in which Feelings to Facts is incorporated, without regard to conflict of law rules.
